Every clinic runs its diary differently. Some doctors work to the minute, some see patients as they arrive, and some would rather hear from a patient first, then give them a time. So online booking with site4u isn't one method forced on you. It comes with the System plan and the plans above it, and you pick the style that suits your clinic.

Three ways to take bookings

You choose the style in your dashboard's booking settings, and you can change it later:

  • Set times: the patient picks a day and a free time on your site's booking page, and the appointment is booked straight away.
  • Order of arrival: the patient picks a day and takes a number. You can cap the numbers for each day; once they're gone, the page asks the patient to choose another day.
  • Request and confirm: the patient picks a day and sends a request, and you call them to agree the time.

Whichever you choose, patients don't create an account or install an app. They type their name and mobile number, and that's the booking made.

The reception list: the whole day in one place

Every booking lands on one list for the day in your dashboard, so reception knows who is coming and when, without a notebook or loose paper. For each booking you can:

  • Mark the patient as arrived, then done, or as didn't come.
  • Confirm requests that are waiting for an answer, or cancel a booking that's off.
  • Tap Remind on WhatsApp, and WhatsApp opens with a reminder already written: the patient's name, the day, and the time or their number. It isn't automatic: it goes out when you or your receptionist tap send.

Someone walks in without a booking? Reception records them as arrived from the same page, even if the site shows the day as full. If your clinic works by order of arrival, they get the next number in that day's sequence.

Your visits, month by month

The visits page shows each month on its own: how many patients came, how many didn't, how many bookings were cancelled, how many bookings were made on the site, and how many of the patients who came were walk-ins. Below that, you see who came and who didn't on each day, and for each doctor or chair if you have more than one.

The figures answer the simple questions that shape a clinic's week: which days are busiest, how often people book and don't turn up, and whether your site is really bringing you bookings.

Every mobile number that books with you also gets a simple file: the name, the number and every booking, and how often they came or didn't.

Your own file number, and no medical data

If your clinic keeps another system, or paper cards with file numbers, you can switch on a file number box in the booking settings. Reception writes the patient's file number on each visit, and later a search by that number on the visits page finds every visit that carries it. The number sits on the visit itself, not on the phone number's file, so a mother and her child booking from the same phone each keep their own file number.

The box accepts digits and English letters only, and if someone types what looks like a national ID number by mistake, it refuses it.

And the part that matters most:

This is for appointments and visits only. Diagnoses, treatments, prescriptions and test results belong in your clinic's own system or its paper files, not here.

No screen asks for a diagnosis, a treatment or a medicine. Even the notes box on a patient's file is meant for appointments only, such as "prefers mornings" or "best reached on WhatsApp". That's deliberate: your patients' medical information stays with you, and nothing in the system asks you for it.
